How to Use your Company Caller ID Remotely



Remote Line Access makes it appear to your client that you are calling from your office.

Did you know you can return a call to a client using your company caller id remotely?  When you’d like to return a client’s call after hours or when you aren’t in the office, simply use our Remote Line Access feature. VoiceOnyx technicians will assign you a masking number to call from your cell phone.  

“The client starts by dialing in the masking number, which allows him or her to dial in the office phone system. The client will hear the phone ring once and then hear the dial tone again. At this point, he or she will dial the phone number of the person intended to be reached,” explains Joseph Phillips, Technician at VoiceOnyx.
How Do I Know if a Client is Trying to Reach me After Hours?
There are several ways you can be notified that a client is trying to reach you. Depending on the PBX configuration you choose, you can access a voicemail message or receive a call directly to your cell phone.

 


You’ll use a masking number to remote dial clients from your cell phone.


Customers may dial your extension directly, or you may receive calls from your company’s Interactive Voice Response (IVR). The IVR prompts a caller to make a selection from the menu. For example, there can be a choice for your customer to Press 1 for after hour emergencies or urgent matters directed to your cell phone.
Voicemail to email can be set up to notify you of your messages. You can also use Remote Voicemail Checking, depending upon your set-up. This allows you to check the company or an individual voicemail box by dialing into your office.     
The FindMe/FollowMe feature allows a call to be routed to your extension, then cell phone (or both simultaneously) and then back to your voicemail.

If you miss a call directed to your cell phone or wish to follow up on an urgent voicemail message, the Remote Line Access feature is ideal. The call will appear to your client as though you are calling from your office. The Find Me Follow Me feature also ensures only your company id is displayed when your cell phone number rings.

Efax Helps You Go Green



Eliminating your fax machine saves on paper and maintenance costs.

If your office would like to eliminate your analog fax machine, VoiceOnyx electronic fax service is available.  The service allows you to send emails with attachments directly to any of your clients who are using a fax machine.  You will also be able to receive faxes from clients to your email. This has the advantage of allowing you to manage your faxes digitally from your computer, as well as cut down on paper usage.

For those of you who wish to keep a fax machine, there is EFax Service with a Fax Enable device that allows users to send and receive faxes from either the fax machine or by email.

How Do I Use E-Fax?

The electronic fax is a secure service that also allows you to send the faxes to multiple fax numbers.

 Fax from Portal – The user can upload the document and fax it to the end recipient(s) using the online e-fax platform offered by VoiceOnyx.  You will press a function key to send a quick fax or send a fax involving multiple numbers.
 Fax from Email - The user can attach the document(s) to their email and send to the designated fax number(s) by entering the fax number into the To: field of the email.

If you fax directly from the e-fax portal, you can check the status of your fax under “Sent Faxes.” If you have emailed to a fax number, you will receive an email confirmation of Success or Failure.  

You can also receive faxes from fax machines electronically. Designated emails will receive the faxes with the scanned document as an attachment.  

The status of all your Received and Sent faxes is available in the fax portal. Attachments may be sent in JPG, PDF, Adobe PostScript, TIFF, Microsoft Word, Excel, CSV, HTML & Plain Text formats.

Is the EFax Service Secure?

Tips on Using our Billing Portal



You can review and pay your monthly service bill in the billing portal. Just enter your invoice/account number or user name/email.

 

Visit your account online at https://www.voiceonyx.com/portal to review your invoice history, make a monthly payment, or set up AutoPay.  VoiceOnyx accepts VISA, MasterCard, Discover Card, and American Express, in addition to a business checking account.  The portal allows you to easily update credit card and banking information as needed.

Customers are invited to pay their bills electronically when they initially set up their accounts. Since service invoices are due in advance by the 5th of the month, AutoPay ensures your payment is made on time.  You can choose this option on the portal. Customers who don’t pre-register can also use the portal to pay their latest invoice by entering their invoice number. If an invoice number is not available, you may also log in by providing your name, account number or email on file.

 


Your monthly invoices are consistent unless you change your number of phones.

 
VoiceOnyx Simplifies your Budget
VoiceOnyx makes your budgeting easier. Monthly statements remain consistent, unless you add or reduce phones in service or change the type of service. What is a Buddy List?



The Buddy List assists with managing your team by showing real time phone activity.

The VoiceOnyx Buddy List appears on the main screen of your Polycom phone. The screen allows you see which of your co-workers are on the phone (red line by name) and who is available to speak with you or accept a transferred call. Due to your ability to see your team members status in real time, this feature is also known as Presence Monitoring.

 


You can direct dial your buddies by pressing the buddy line key.

 
Who Sets up my Buddy List?
The technicians at VoiceOnyx will set up and update your Buddy List for each extension. Just keep us informed of any staff changes, and the Buddy List will be up to date at every phone. Keeping your extensions updated is also important if you customers are using a Dial by Name Directory.

If you have over 4 staff members, you may want to consider purchasing the Polycom VVX 411, which doubles the number of free lines for your Buddy List to 10.
